Selling on credit and recording the payment
What is it for?
A trade customer takes the goods today and pays later. The sale is recorded as unpaid, its amount is added to the customer's outstanding balance, and each payment then reduces it.
Inoxal example: the company Oriental Construction BTP buys 12 sheets, 4 tubes and 2 boxes of screws, 6,650 MAD in total, and pays a 3,000 MAD deposit by bank transfer.
Before you start
- The customer exists in Sales → Customers. A walk-in customer cannot buy on credit.
- The customer's credit account is not suspended.
- For a payment by transfer, check or BOE, a bank account exists in Finance → Treasury → Bank Accounts.
1. Selling on credit at the point of sale
-
In Point of Sale, choose the customer in the customer field above the cart.
-
Add the items to the cart.
-
In Payment, choose Credit. It only appears once the customer is selected.
-
Click Complete Checkout. The dialog shows the customer's Credit Information: credit limit, outstanding balance and available credit.
“This order will be created as unpaid (Credit).” The customer pays later. -
Confirm with Complete Checkout.
The order appears in Sales → Orders with the payment status Unpaid.
2. Recording the customer's payment
- Open Finance → Payments → Sales Payments, then New.
- Choose the Customer, then the Order to settle. To spread one payment over several orders, tick Pay Multiple Orders.
- Enter the Amount. The maximum still owed is shown next to the field.
- Choose the Payment Date and the Payment Method. For a Transfer, a Check or a BOE, select the bank account receiving the funds.
- Add a note, then click Save.
Good to know
- A credit limit of zero means “unlimited”. The limit only blocks a sale when it is set and limit checking is enabled.
- The Suspend button on the customer page cuts off credit, at the point of sale and in the back office.
- Finance → Treasury → Customer Credits Dashboard and the aging report show who owes what, and since when.
