Initial setup of an organization

This page follows, in order, the setup of a new organization. Each step prepares the next: an item needs a category, a supplier and a warehouse, which must therefore exist before it.

The examples use Inoxal, an aluminium and joinery accessories trader in Nador: two warehouses, one showroom, five categories, three suppliers and fourteen items.

1. Choose the business activity profile​

As long as the organization has no business activity profile, an administrator is redirected to System Settings → Global settings on every screen. Other roles only see the Set your business type banner.

  1. In Business activity profile, choose the profile that describes your business: General retail, Fashion, Pharmacy, Restaurant or Wholesale.
  2. Click Save profile.
The profile adapts the defaults. The Wholesale profile disables the point of sale; the others keep it enabled.

2. Complete the company details​

Organization → My Company: name, logo, contact details, default document language, ICE and bank details. Currency and tax are set in System Settings → Global settings.

3. Create the warehouse and the shop​

New organization

The “Main Warehouse” warehouse and the “Main Store” shop are only created automatically for the first organization, at installation. An organization added later starts without a warehouse or a shop.

  1. Organization → Sites → Warehouses, then New: at least the Name.
  2. Organization → Sites → Shops, then New: at least the Name. The shop's cash register is created with it.

4. Create the categories​

Inventory → Items → Categories, then New: name, description, image and, if needed, costing method.

5. Record the suppliers​

Purchases → Suppliers, then New: name, email, country, address, phone. Turn on Tax exempt if purchases from this supplier must be taxed at 0%.

6. Create the items​

Inventory → Items, then New:

  • Name (50 characters maximum) and Reference, required;
  • Category, Supplier and Warehouse, required;
  • Stock tracking, opening Quantity and Measure Unit;
  • Buying Price and Selling Price, required.

7. Record the customers​

Sales → Customers, then New: Particular (first name, last name and CIN required) or Company (company name and ICE required).
