Making your first sale at the point of sale

This guide follows a real counter sale, from an empty cart to the receipt. The examples use the demo organization Inoxal, an aluminium and joinery accessories trader in Nador, Morocco.

What is it for?​

The Point of Sale handles immediate sales: the customer chooses, pays and leaves with the goods. Each sale reduces stock and appears straight away in Sales → Orders.

Before you start​

  • You have the Cashier, Vendor or Administrator role.
  • The module is enabled: Point of Sale appears in the menu (see Enabling or disabling the point of sale).
  • The items you sell have stock in the warehouse used by the till.

Steps​

  1. Open Point of Sale from the side menu.

  2. At the top of the screen, check the shop and the warehouse. Sold stock comes from that warehouse: an item that is not in it does not show up in the search.

  3. If the No Active Session banner is shown, click Open Session, then confirm with Open Session in the dialog.

    Opening a session links your sales to the selected shop. The cash register session ID is optional.
  4. Add items to the cart in any of these ways:

    • scan the label in the Barcode Scan field;
    • search by name, reference or SKU in Find & add items, then pick with ↓ and Enter;
    • tap the + button of an item in Quick Items.
  5. Correct the quantities in the cart. For an item sold by the metre or by weight, enter a decimal quantity, for example 3.5 metres of brush seal.

    Inoxal example: 2 handles, 4 hinges, 3.5 m of brush seal and a silicone sealant, 244.00 MAD in total.
  6. Leave the customer as Walk-in Customer for an anonymous sale, or choose a registered customer in the customer field above the cart.

  7. In Payment, choose the payment method and enter the amount received with the keypad or the Quick Amounts. For a cash payment, the Change to give back is calculated immediately.

  8. Click Complete Checkout. The Checkout dialog sums up the payment: tick Print Receipt if needed, then confirm with Complete Checkout.

    A customer paying in two ways (cash and card, for example): add a line with “Add Payment”.

The sale is recorded with a POS-… reference, Completed and Paid. The cart is cleared and a new cart is ready for the next customer.

Good to know​

  • The unit price of a line can be edited directly in the cart.
  • The order summary lets you apply a discount, VAT, shipping fees and additional fees.
  • Available payment methods: Cash, Card, Check, Transfer, BOE (bill of exchange) and Digital Wallet. Credit only appears when an identified customer is selected (see Selling on credit).
  • The receipt can be reprinted later from Sales → Orders.
Interim report

During the day, the X Report button downloads the till status without closing anything. See Opening and closing the till.
