Stock troubleshooting
The displayed stock does not match the real stock
Symptom. The physical count differs from the displayed quantity.
Possible causes.
- A purchase was recorded but not yet received.
- A transfer between warehouses was not entered, or not yet applied.
- A write-off is waiting for approval: its quantity is already removed from sellable stock.
- A sale or a return was entered on the wrong warehouse.
Solution.
- Open Inventory → Stock Movements and filter on the item: every sale, purchase, transfer, return, adjustment and write-off is listed.
- Record the missing operation rather than correcting the figure.
- If the difference stays unexplained, make a stock adjustment with a reason.
A purchase is recorded, but stock has not moved
Cause. Stock only increases on receipt. A purchase that is Pending or Approved has not brought in any goods yet.
Solution. Open the purchase, Timeline tab, and click Record receipt. See Recording a purchase and its receipt.
Transferred stock does not appear in the destination warehouse
Possible causes.
- The transfer is not applied yet: check its status in Inventory → Warehouse Transfers.
- You are looking at the item's line in the source warehouse: in the items list, the same item appears once per warehouse.
Solution. Open the transfer to check its status, then search for the item by reference and check the warehouse column.
The same item appears twice in the list
Cause. This is expected: an item is tracked per warehouse. After a transfer, the same reference exists in both warehouses, each with its own stock.
If the problem persists
Contact support with the item reference, the
warehouse concerned, the references of the operations involved (PUR-…,
TRF-…, WOF-…) and a screenshot of the item's stock movements.
